Security for data and identity
About one Access code The message is always available to the notifier at any time. This allows the notifier to add information and resolve any questions about the chat function with the editors. Upon request, an email notification is sent when updates are made. For all uploaded files, the notification is sent automatically to the email address provided by the notifier. What is a whistleblower system?
A whistleblower system is a secure reporting channel through which employees and business partners can report rule violations anonymously or confidentially. It fulfils the requirements of the Whistleblower Protection Act (HinSchG) and documents case handling in a legally compliant manner.
How is anonymity ensured in LegalTegrity's whistleblower system?
LegalTegrity ensures that the anonymity of whistleblowers is fully protected.
- No personal data required: Whistleblowers must not provide any data that could lead to their identification.
- Personal PIN and Case ID: When submitting a tip, the person creates a personal PIN and receives a 12-digit Case ID. With this information, they can log in at any time to answer further questions or check the status of their tip.
- Metadata deletion: When uploading files, all metadata is immediately deleted, making it impossible to trace via IP addresses or location information.
- GDPR Session Cookies Without Tracking: A „session“ cookie is used exclusively to ensure that only the anonymous user can access the initiated notice. This cookie does not contain any personal data and is solely for identifying the current session, without any tracking by LegalTegrity taking place.
Where is the data hosted?
LegalTegrity's whistleblower system is securely hosted in Deutsche Telekom's certified Open Telekom Cloud in Germany. The data centres are located in Magdeburg and Biere and offer maximum downtime protection. Data backup and recovery are tested and available at any time. The solution is GDPR compliant and meets the requirements of various ISO certifications, guaranteeing the highest level of data protection.
What is the process for communicating with the whistleblower?
Communication with whistleblowers is crucial for clarifying facts. At LegalTegrity, it is carried out securely and anonymously:
- Anonymous communication: Whistleblowers can log into the platform anonymously at any time using their code and PIN to send messages or respond to queries.
- Real-time chat: Reporting officers and whistleblowers can communicate conveniently and in real-time via a secure chat.
- Avoiding e-mail communication: The solution avoids unprotected e-mail communication (e.g. sending the notice content via e-mail) and enables secure, collaborative use of the platform through permissions for reporting office managers.
Why do many low-cost solutions fail to comply with legal requirements?
Many low-cost solutions fail to meet legal requirements as they do not correctly implement the different national transpositions of the EU Whistleblowing Directive and specific GDPR-compliant retention periods. Furthermore, they cannot accommodate future adjustments, such as the European Corporate Sustainability Due Diligence Directive (CSDDD), in a timely manner. Another issue is insecure email communication, which compromises confidentiality. LegalTegrity, on the other hand, guarantees that the reporting channel is always legally compliant and will remain so in the future, meaning companies do not need to worry about legislative changes. Can the system be tested beforehand?
Yes. The whistleblower system can be used in a test environment before a decision is made. During the test, you will gain access to the essential functions of the reporting office.
How does AI support the processing of reports?
The AI support verifies the plausibility of a report, assesses its possible relevance according to the HinSchG and proposes next steps. The analysis only starts at your request. It does not replace legal advice. The evaluation and decision remain with the individuals involved in the process. You decide for yourself whether to use the support function Activate I would like to.
How does the reporting via the Voicebot work?
The Voicebot leads to the indicator 24/7/365 oral in all available languages through the reporting process and takes into account the categories and questionnaires submitted. After activation, it is immediately available on the reporting start page. The reports are then processed in the system as usual.
How does the system support reporting in other languages?
The Translation function helps to overcome language barriers in case processing. The data transmitted are processed by the provider after the TranslationUn deleted.
Can reports be exported anonymously or pseudonymously?
Yes, Both are possible. Beim Export of a report You can choose whether to include names anonymized done uniform Placeholder or pseudonymized by individual placeholders as „Person A“ would be replacedand would like. The export version can be reviewed and adjusted before downloading. The download is documented in the audit log.
What help does the integrated support assistant offer?
The integrated Support Assistant answers questions about using the platform and, if applicable, refers to existing tutorials in the system. This way, you receive direct support within the system when you need help with a function or a workflow step.
